COUNTDOWN TO EXODUS EVENT CHECKLIST
8-4 weeks before the event:
• Announce the event in children's church and the adult service.
• Display posters advertising the event in your church and neighborhood.
• Organize volunteers.
• Place an ad or announcement in your church bulletin. Give your senior pastor and other church leaders details about the event so they can pass on the word.
• Contact your local media organizations. Send out press releases.
• Secure the location you've chosen for the event.
• Make arrangements for the rooms/buildings, furniture, food, and props you'll need.
• Assign volunteers to the positions they'll fill at the event.
2-3 weeks before the event:
• Canvass the church neighborhood with fliers. Supply congregation families with extra fliers to distribute.
• Confirm reservations for the location, rooms, furniture, food, and props.
• Contact other churches and personally invite them to attend.
• Post information about the event on your church's Web site.
1 week before the event:
• Have your pastor invite the congregation to attend the event from the pulpit.
• Confirm room, furniture, and props availability.
• Advertise, advertise, advertise! Contact media organizations, newspapers, and community events advertisers.
Day before the event:
• Decorate the event area.
• Make contact with volunteers and participating parents.
• Complete all preparations.
• Ask volunteers to arrive at least 1 hour before the event.
Day of the event:
• Coordinate setup and cleanup efforts.
• Arrive early to welcome participants and volunteers.

Relax and have a great time!
Day after the event:
• Send cards inviting visiting children to return to your church the following weekend.
• Distribute names and phone numbers of visiting children to the appropriate Sunday school teachers so they can make contact.
• Find a special way to thank all the parents and volunteers who supported the event.
